Working on a best of the best approach, more specifically over the last four year period, significant research and development has created the Cooinda operational platform that results in a unified and singular version of information and record keeping.

Systems have been developed that provide accuracy and consistency in decision making within a delegated level of authority. Decisions specific to pricing, policy and procedures are set at a principal level and cascaded down through the operational hierarchy. At all times, senior officials within the framework have transparency of outcomes being generated. VENUELIFE

Venuelife is a subscription-based management system providing complete control over bookings, client schedules, enquiries, invoices, catering, and activities. The powerful software has been extensively customised over 12 months to the unique operational methods of Cooinda to provide elite efficiency and control.

Venuelife provides a powerful dashboard of workflow, financial milestones, occupancy performance and staff rostering and resources. The system is integrated to financial management systems such as Xero, in order to provide a seamless invoicing and reconciliation process.

CATERING MANAGEMENT SYSTEM

The Cooinda catering management system is a specifically developed, in-house software platform that ensures complete efficiency of catering services provided to guests. Recipe cards for each meal provide catering staff with clear instructions and ingredient quantities. Consolidated ingredient list ensures complete control of quantities ordered. Ordering lists provide efficiency of process and eliminates the guess work out of orders, while being integrated to suppliers for quick order placement.

FINANCIAL MANAGEMENT DASHBOARD

The financial management dashboard developed specifically for Cooinda, ensures margins are high: industry gross profit expectation is approx. 30% and Cooinda operates at 50% catering gross profit margin.

Prior to creating the Cooinda CMS, per event catering preparation could take as long as 4 hours. The Cooinda CMS has reduced catering preparation to approx. 30 minutes.

Extensive pricing structures that capitalise on minimum booking value and are aligned to seasonal supply and demand patterns.

A fully purpose-built handbook of employee policies to match current legislation and obligations, while ensuring a high level of morale and confidence.

WHS

Specific procedures that match the operational conditions of Cooinda, from manual handling, commercial kitchen cook and clean, site cleaning and chemical usage.

Environment

Respectful and sensible procedures that acknowledge the importance of the environment and our business impact, including recycling, the use of cleaning chemicals and the preservation of the natural bushland setting.

Kitchen – with the hub of operational services being provided by the kitchen, our procedures ensure health standards are both met and exceeded, while practices are safe and efficient in achieving commercial success.

Working with Children – as many of Cooinda’s clients are students under the age of 14, a full Working with Children and Child Protection framework has been developed and registered with the Department for Education.

Risk Management – meeting the requirements of both commercial groups (predominantly schools and community groups) Cooinda’s risk framework identifies, assesses and controls risks to the organisations capital and earnings.

Maintenance Processes and Schedules – a complete integrated platform of annual facilities assessment, corrective and preventative maintenance schedules and systems ensure compliance, safety and longevity of assets across the entire operation.
